HEALTH ADMINISTRATIVE ASSISTANT
JOB OVERVIEW
NIMA is seeking a dedicated Métis Health Administrative Assistant to support the NIMA Health team in assisting members and their families with health-related needs and inquiries. As the first point of contact, this front-facing role will be responsible for member intake and providing essential support.
Reporting to NIMA’s Health Manager, the successful candidate will work closely with NIMA staff, Indigenous health organizations, and other healthcare partners.
This position is 30-35 hours per week with a wage range of $25–$29 per hour, based on experience. The role includes extended health and dental benefits, a pension plan, and is available for an immediate start.

QUALIFICATIONS & EXPERIENCE
Education, Training and Experience
- Minimum of Grade 12 and two years of recent related experience akin to an MOA (Medical Office Assistant); or an equivalent combination of education, training, and experience.
- Experience in promoting best practices as it concerns Métis or Indigenous Peoples is preferred.
- Additional training such as first aid, non-violent crisis intervention, etc. is an asset but not required.
- Preference may be given to candidates of Métis ancestry.
- Ability to keyboard at 45 wpm.
- Knowledge of medical terminology.
- Ability to assess and prioritize appointments based on client needs.
- Strong verbal and written communication skills.
- Physical capability to perform job duties, including lifting up to 40 lbs.
- Strong time management and organizational skills, including keeping up-to-date records and providing timely reports.
- Strong interpersonal and conflict resolution skills, including the ability to use a high degree of tact and diplomacy in working with others.
- Proficiency in operating relevant office and medical administrative equipment and software.
RESPONSIBILITIES
- Serve as the first point of contact, welcoming and directing community members, responding to telephone inquiries, relaying messages to the appropriate staff, and managing appointment confirmations for both staff and members.
- Schedule and coordinate various appointments, prioritizing them based on urgency and relevance. Handle rescheduling, confirmations, and follow-ups as needed.
- Manage confidential health records, ensuring that all patient files and health records are maintained in strict confidentiality and comply with privacy regulations.
- Assist in responding to urgent member inquiries, directing individuals to appropriate crisis services, and notifying relevant staff.
- Organize and maintain both digital and physical office files, including member records and departmental manuals.
- Compile, audit, and analyze data to prepare statistical reports, summaries, charts, graphs, and tables for managers and supervisors.
- Support the Health Manager and team in organizing health programs, workshops, and events for members.
- Perform clerical duties, including photocopying, preparing reports and correspondence, and managing incoming and outgoing mail.
- Monitor and manage inventory of office and departmental supplies.
- Perform other related tasks as assigned by the Executive Director or Health Manager.

- Must provide a current Criminal Record Check with the Vulnerable Sector

TECHNOLOGY COORDINATOR
JOB OVERVIEW
NIMA is looking for an experienced Technology Coordinator to support the development and implementation of an online training initiative designed to foster inclusive workplaces for Métis employees. This role will focus on the technical aspects of course development, ensuring that digital learning materials are engaging, accessible, and function smoothly on the selected online platform.
The successful applicant will report to Jackie Lever, NIMA’s Executive Director, and work closely with NIMA staff, the Métis Curriculum Developer, and external partners to bring the training program to life in a user-friendly digital format. Knowledge of curriculum development is not required.
This position is 15-25 hours per week, with the possibility of hours being increased. The starting wage is $30 per hour, negotiable based on experience. The position includes extended health and dental benefits as well as a pension plan and is available for an immediate start.
QUALIFICATIONS & EXPERIENCE
Education, Training and Experience
- Experience in digital learning technology, instructional technology, or a related field.
- Strong knowledge of e-learning platforms, LMS systems, or website management tools.
- Ability to integrate videos, quizzes, and interactive elements into online courses.
- Familiarity with accessibility standards and best practices in digital learning.
- Strong problem-solving skills and ability to troubleshoot technical issues.
- Experience providing technical support for users with varying levels of digital literacy.
- Ability to work independently while collaborating with a multidisciplinary team.
- Experience working with Indigenous organizations or communities is an asset.
- Knowledge of website development, including experience with e-commerce platforms, is an asset.
- Familiarity with digital marketing, social media management, and online engagement strategies is an asset.
RESPONSIBILITIES
- Assist in selecting, setting up, and managing the online learning platform for course delivery.
- Upload and organize course materials, including videos, quizzes, and interactive content.
- Ensure all digital content is accessible and functions properly across various devices.
- Provide technical support for staff and participants using the platform.
- Troubleshoot and resolve technical issues related to course access, multimedia integration, and user navigation.
- Provide general IT support for the office, including troubleshooting issues with Microsoft Office, Google Suite, and other software.
- Work collaboratively with the Curriculum Developer to integrate culturally relevant materials into the online learning environment.
- Test the platform for usability, functionality, and learner experience improvements.
- Assist in gathering participant feedback and making necessary adjustments to the digital course materials.
- Support website development and maintenance for the organization, ensuring usability and accessibility.
- Assist with e-commerce functionality, if applicable, for online program registration or resource sales.
- Contribute to digital marketing and social media efforts to enhance online engagement.
- Perform other duties as assigned by the Executive Director
